In Projektwerk, the weekly site walk is an appointment with a checklist: inspection, trade coordination, defects, site diary. Defects are captured with photo and timestamp and land on the rework list with a reason — the defect list per site writes itself, and the comment thread replaces the paper site diary and the WhatsApp group alike. Defect management on the build becomes an afterthought: capture, assign, tick off.
Instalments, retention and e-invoicing
Invoicing fits the GC business: instalment invoices are created with one click from the project file, numbered automatically, and the final invoice offsets all issued instalments by itself — compliant, no pocket calculator. Site setup with weekly retention sits as ready-made invoice positions in the template. And the officially validated XRechnung export is mandatory with public-sector clients — built into Projektwerk, along with DATEV export and dunning.

With Projektwerk you pick one of three plans — Basis €59.90/month (€49.90 billed yearly) for up to 5 employees, Pro €114.90 (€94.90 yearly) for up to 15 employees, Premium €199.90 (€169.90 yearly) for unlimited employees. Hosting, updates and support are always included, and you can switch anytime. Project files and invoicing are included in every variant, and you never pay per user.
Can I run several construction projects in parallel?
Yes — that is what Projektwerk is built for: the project list is your portfolio view, and each job has one file with all appointments, photos, the hour budget and the invoices. You see at a glance which project runs smoothly and which one is stuck.
Does this replace my site diary?
The comment thread with photos and timestamps on the project documents progress chronologically — every site walk, every defect, every coordination with date and image. Instead of a paper site diary and a WhatsApp group, you get a searchable file per project.
How do instalments and the final invoice work?
With one click from the project file: instalments are numbered automatically (1st instalment, 2nd instalment …), and the final invoice offsets all issued instalments by itself — cleanly itemised, compliant, no pocket calculator.
Can I see whether a project is within budget?
Yes, live: the crews clock onto the site, and actual hours run automatically against the project’s hour budget. The project file shows at any time where the job stands — recalculation happens on the side.
Does XRechnung work for public-sector clients?
Yes — invoices can be exported as officially validated XRechnung e-invoices. With public-sector clients the e-invoice is mandatory — with Projektwerk you are on the safe side. Dispatch goes straight from the system by email, via your own SMTP server or SendGrid.
Does my tax adviser get the data?
Yes, with one click: the DATEV export produces the posting batch plus all document PDFs for the chosen period — ready to hand over to the firm.
What do I need to run Projektwerk?
A completely normal web hosting package with PHP and a MySQL database — no special server, no forced cloud. We handle installation and setup. And with the fully managed package you need nothing at all: Projektwerk then runs entirely on our servers.
Can I test Projektwerk beforehand?
Yes — the live demo is open to everyone: a complete installation with a sample company, two site crews, 11 kits, priced templates and a running project including an issued instalment invoice. Tap “Als Chef testen” (test as boss) on the login page, done. The demo resets itself every 30 minutes. Does it work on the iPad and without reception?
Yes. Projektwerk is a web app (PWA) with an app icon on the home screen. The time clock and daily tour work even in shell builds without reception and sync as soon as the network returns.
Does the software run under my company name?
Yes — white-label is included. Login, app name and business details carry your company, and your invoices appear on your own letterhead.
What about data protection?
Your customer and employee data lives on your own server — not in someone else's cloud. Roles and permissions control who sees what, an audit log documents changes, and uploaded photos are automatically stripped of GPS data.
Can Projektwerk be adapted or extended for my company?
Yes. Modules can be switched off individually, and from extra fields to entire extensions — such as quoting or a client portal — we build additions on request at a fixed price. The fastest way is our ticket system: describe your wish and we reply with a fixed-price quote.
