Between the quote and the paid invoice lies a lot of organisation: staffing crews, watching the weather, tracking hours, documenting colour tones, writing invoices. Malerwerk was built for exactly this routine — trade software for painters and decorators that works as well on site as it does at the desk.
CRM, crew scheduling and time tracking in one system
Many painting businesses juggle isolated tools: a customer index, a wall calendar, a folder of timesheets and an invoicing program that knows nothing about any of them. Malerwerk combines the painter CRM with crew scheduling, digital time tracking, equipment management and invoicing — every piece of information is maintained once. The appointment knows its customer, the time clock knows the property, and the invoice knows all three.
From completed appointment to paid invoice
Invoicing is a core part of Malerwerk, not an add-on: after the customer signature on the iPad, the invoice is created straight from the appointment, with positions from the service template — say “interior paint job” at €9.80/m² or “doors & frames lacquered” at €145 apiece. Compliant gap-free invoice numbering, XRechnung e-invoice export for public-sector clients, DATEV export for the tax adviser and one-click dunning are built in. For larger properties, the project file offsets instalment and final invoices automatically.
The site app for the crew
On site, different things matter: checklists to tick off, before/after photos as proof of clean work, a time clock that keeps running in a shell build without reception. Malerwerk runs as a web app (PWA) with an app icon on any iPad or smartphone — no app store, no per-device installation. Time tracking in a painting business becomes an afterthought: clock in, work, clock out.
Who is Malerwerk made for?
For painting businesses with one or several crews: interior painting, façade work, wallpapering and lacquering — and for every business that is done with paperwork. The customer file stores floor area, façade area, storeys, “scaffolding needed” and the colour tones used, by RAL and NCS. Whether 3 or 30 employees, the price stays the same, because Malerwerk never charges per user. What does Malerwerk cost?
With Malerwerk you pick one of three plans — Basis €59.90/month (€49.90 billed yearly) for up to 5 employees, Pro €114.90 (€94.90 yearly) for up to 15 employees, Premium €199.90 (€169.90 yearly) for unlimited employees. Hosting, updates and support are always included, and you can switch anytime. Invoicing is included in every variant, and you never pay per user.
Can I write invoices with Malerwerk?
Yes — invoicing is a core feature, not a paid add-on. Invoices are created straight from the completed appointment, right after the customer signature if you wish, with positions prefilled from the service template. Invoice numbers are compliant and gap-free, the number range is freely configurable — existing businesses continue seamlessly from their last number. Plus: PDF with your own letterhead, small-business VAT rule, open items, payment reminders and dunning with one click, and the project file with instalment and final invoices. If you prefer to work without the invoicing module, simply hide it.
What about e-invoicing and XRechnung?
Malerwerk exports invoices as officially validated XRechnung e-invoices — ready for business clients and public-sector customers. Dispatch goes straight from the system by email, via your own SMTP server or SendGrid.
Does my tax adviser get the data?
Yes, with one click: the DATEV export produces the posting batch plus all document PDFs for the chosen period — ready to hand over to the firm.
What do I need to run Malerwerk?
A completely normal web hosting package with PHP and a MySQL database — no special server, no forced cloud. We handle installation and setup. And with the fully managed package you need nothing at all: Malerwerk then runs entirely on our servers.
Can I test Malerwerk beforehand?
Yes — the live demo is open to everyone: a complete installation with a sample company, two crews, 15 tools, priced templates and sample invoices. Tap “Als Chef testen” (test as boss) on the login page, done. The demo resets itself every 30 minutes. Does it work on the iPad and without reception?
Yes. Malerwerk is a web app (PWA) with an app icon on the home screen. The time clock and daily tour work even in shell builds or basements without reception and sync as soon as the network returns.
Does the software run under my company name?
Yes — white-label is included. Login, app name and business details carry your company, and your invoices appear on your own letterhead.
What about data protection?
Your customer and employee data lives on your own server — not in someone else's cloud. Roles and permissions control who sees what, an audit log documents changes, and uploaded photos are automatically stripped of GPS data.
Can Malerwerk be adapted or extended for my company?
Yes. Modules can be switched off individually, and from extra fields to entire extensions — such as quoting or a customer portal — we build additions on request at a fixed price. The fastest way is our ticket system: describe your wish and we reply with a fixed-price quote.
